Job summary

We are looking to recruit a Band 3 Administrator 30:00 hours per week over 5 days over a 7 day period, in our busy Neighbourhood Team, where you will be based in Gemini House, Kidderminster.

This is a varied role, which requires the post holder to have a flexible approach, a calm, professional manner who can work both independently and as part of a team. You will have a working knowledge of Microsoft office and an understanding of the Data Protection Act and NHS Code of Conduct. You will also have excellent communication and interpersonal skills, which will support you in dealing with telephone enquiries from patients, relatives and other professionals such as GPS and outside agencies.

Please note the Trust is unable to provide sponsorship to work for this role, to apply you must have current right to work in the UK status. Employment on a time limited visa doesn't guarantee sponsorship at point of expiry.

Main duties of the job

You will be part of the busy admin team for the community nursing staff, Physiotherapy and Occupational Therapy.

You will undertake a vital role in supporting the team with admin duties including telephone duties, monitoring email inboxes, and supporting all our clinical staff. This role will include contact with patients, carers, professionals, and family members.

You will also need to be highly organised have great self-motivation and be a team player. Be able to solve problems that arise and support other teams within the service at short notice.

The ability to prioritise a busy workload and work flexibly and meet deadlines is a requirement of the role as we are very focused on providing the very best customer service for our service users.

Job responsibilities

Administration duties specific to the role.

Providing support as required e.g. telephone cover, email inbox management, scanning, diary management, maintaining accurate records, packing online prescription orders, managing and testing schedules of clinical staff equipment, minute taking.

Within this role you will have contact with emotional and distressed patients and family members, a calm telephone manner is essential, but training and support will be provided.

Person specification

Experience

Essential

  • Recent, relevant Administrative/Secretarial experience (usually demonstrated by a minimum of 2 years experience).

Desirable

  • Experience working in General Practice, Neighbourhood Team / health care environment.
  • Experience of using Emis system.

Knowledge

Essential

  • Professional manner.
  • Willingness to commit to continuing professional development and undertake relevant training when required.
  • Tact and discretion when dealing with requirements of the role.
  • Be able to multitask jobs effectively.

Qualifications

Essential

  • Educated to academic Level 3 (e.g.: A-Level, NVQ3, OCR/RSA3, City and Guilds 3) in a Business/ Administration related subject, otherwise
  • Educated to academic Level 2 (e.g. GCSE Grade A-C) with considerable recent NHS administrative experience and will be expected to undertake the relevant level 3 qualification on appointment to post.
  • I understand that I will be asked to provide original certificates to verify my qualifications at point of offer.
