Job summary

To ensure the maximum effectiveness of the Directorate by planning and managing the diaries and providing proficient secretarial, office management, personal assistant and support services. Responsible for the provision of efficient, effective and professional administrative service to support the Trust. Undertaking a wide range of administrative tasks as directed, maintaining excellent customer service and standards or work, in order to uphold and enhance the reputation of the Administration Services team.

Main duties of the job

The Business Administrator will be responsible for the provision of efficient, effective and professional administrative service to support a Director or group of Directors.The post holder will be responsible for?The day-to-day organisation of the Directorate office? Job responsibilities

The day-to-day organisation of the Directorate officeKnowing the overall priorities of the Executive /Director and interpreting these prioritiesPlanning and managing the diary and facilitating deliveryScheduling and following up commitments made by the Executive/ DirectorEstablish and use effective administrative working protocols and practices within the directorate group, whilst continually reviewing/improving the systems.Assist the Executive/Director in developing, implementing and maintaining specific policies, protocols and related systemsRepresenting and making decisions on behalf of the directorate at the appropriate level as delegated by the Executive/DirectorHaving delegated budgetary responsibility for expenditureBuilding management health & safety (including organising fire wardens/training, first aiders etc) and ensuring safe working environment (including reporting maintenance work, overseeing cleaning).Proactively engaging in Trust-wide policy developmentTake on some of the Administration Coordinator/Manager responsibilities and work closely with management, deputising and making decisions in their absence where appropriateThe Executive Assistant/PA will work on their own initiative, with significant discretion to develop systems and will work within broad guidance from the Executive/Director

Person specification

Qualifications

Essential

  • Relevant degree level qualification or equivalent management/senior administration experience or diploma level plus equivalent experience
  • Evidence of continuous personal and professional development

Business Administration Experience

Essential

  • Experience providing business or administrative support to senior managers, clinicians or multidisciplinary teams
  • Experience arranging and coordinating meetings involving multiple stakeholders
  • Experience preparing agendas, taking minutes and monitoring actions
  • Experience managing competing priorities and working to deadlines

Desirable

  • Previous NHS administration experience
  • Experience supporting governance meetings or committees

Skills and Attributes

Essential

  • Strong organisational and prioritisation skills
  • Strong written and verbal communication skills
  • Ability to work independently and use initiative
  • Ability to build effective working relationships with a range of stakeholders
