Key Responsibilities Reconcile all bank accounts at least weekly
Perform all purchase ledger activities which includes entering supplier invoices/credits to the system, check theyre correctly coded, process them for payment in a timely manner. Coding to correct dept/fund.
Produce all sales invoices liaising with each department to ensure this is undertaken in a timely manner.
Compile weekly banking, accurately recording all funds received.
Produce and monitor aged debtors, actively ensuring credit control is managed.
Monitor Petty Cash, ensuring funds are available as and when needed.
Set up BACS for all supplier payments, employee expenses & monthly payroll in a timely manner.Ensure payments to HMRC for VAT & PAYE are paid within the government deadlines.
Monitor the income and expenditure of all grants received ensuring accurate records are maintained, using QuickBooks. Post monthly overhead charges to funds.
Ensure that all book-keeping transactions have been properly authorised and processed.
Prepare monthly payroll with GA accountants, ensuring that all necessary amendments are put into effect, this includes calculating pay for shift workers, manage starters & leavers, P60s, pension administration of the companys auto-enrolment scheme.
Monthly reconciliation of all balance sheet control accounts.
Produce reports for fundraising to help them monitor money received.
To prepare monthly management accounts for the CEO, Treasurer and Trustees. These include I&E variance analysis, restricted vs unrestricted reporting and balance sheet.
To work with the Treasurer and external accountants to plan the year end audit/Independent exam timetable. To prepare all reconciliations and analysis ready for year end, in accordance with the timetable. To work with the accountants to produce the Financial Statements, ensuring all information is presented correctly. Act as a liaison between the accountants and the Trustees when making amendments and finalising the Financial Statements.
Liaison with Chief Executive and Treasurer to produce an annual budget, providing analysis for all variances for the Treasurer to present to the Trustees.
To produce a detailed re-forecast after 6 months.
To monitor the use of restricted funds and provide updates to the CEO, Treasurer and Trustees.
To monitor the reserves position of the Charity and adherence with the reserves policy in place.
Treasury management to ensure maximum interest is on surplus funds which maintaining sufficient readily available funds to day-to day activities.
Other ad-hoc duties as required by the CEO and Treasurer.
