We are looking for an HR & Office Administrative Assistant to join our clients growingteam. In your role as an HR & Office Administrative Assistant, you will report to the Global HR Manager. To support the office culture and logistics, you will be required to work from the office 3 days a week, with every Wednesday being an all company day, with the remaining two days worked remotely.
You will be responsible for managing end-to-end office operations and serving as a key operational hub for HR and employee experience.
Office Logistics & Facilities:
Vendor Management: Acting as the primary point of contact for the landlord and
external vendors, such as electricians and plumbers.
Supply Management: Managing the ordering of office supplies and maintaining
inventory.
Health & Safety: Ensuring the office remains a safe environment and staying compliant
with health and safety standards.
Team Events: Coordinating team lunches and planning events for the Summer and
Christmas parties, as well as smaller ad-hoc gatherings.
General Admin: Providing general business administration support to ensure efficient
operations.HR & Employee Lifecycle
HR Data & Systems Management: Maintain HR software by accurately inputting
employee details and tracking annual leave, sickness, and attendance
Recruitment Assistance: Providing assistance with recruitment and candidate sourcing,
screening, and referencing.
Onboarding & Offboarding: Assisting with the onboarding and offboarding of
employees to ensure a seamless transition for all staff.
Policy Guidance: Developing a strong knowledge and understanding of company
policies to provide accurate advice and support to the team. Assist in drafting, updating,
and implementing HR policies
HR Research & Initiatives: Assisting with research on upcoming HR initiatives and
providing administrative support for the People team.
Travel & Scheduling: Managing team travel arrangements and booking meetings and
candidate interviews.Requirements
Up to 2 years of experience in a similar administrative or HR role.
Communication: Have excellent verbal and written communication skills to effectively liaise with
internal teams and external stakeholders.
Soft Skills: Leverage emotional intelligence and active listening skills to work harmoniously and
effectively with others.
Organisation: Be diligent and attentive to detail with a strong ability to resolve issues in a timely and
efficient manner.
Tech Savvy: Be adept at working with Microsoft Office/G-Suite and comfortable working with
different technologies.
Attitude: Have a "can do" attitude to taking on new challenges
