The HR Coordinator will play a key role in supporting the HR Manager, ensuring the seamless execution of HR processes and strategies that support the business.


As HR Coordinator, you will undertake a crucial role in fostering a workplace where employees feel valued, supported, and empowered to achieve their full potential.


Key Duties & Accountabilities


Onboarding and offboarding



  • Coordinate the end-to-end onboarding process for new hires by preparing and issuing employment contracts and new hire documentation as well as ensuring relevant background checks are completed.

  • Conduct inductions for new hires and continuously monitor feedback and provide recommendations to ensure a positive employee experience from the start.

  • Ensure a smooth offboarding of departing employees, managing exit interviews and making recommendations.


HR systems management



  • Maintain the HR information system (HRIS) to ensure accurate and up-to-date employee data is maintained.

  • Build and generate HR reports to ensure accurate and up-to-date employee data can be measured and presented to senior leadership.

  • Assist with troubleshooting system issues and providing training for employees on the HRIS.

  • Administer the Employee Benefits Portal and any other relevant portals, ensuring employees are added and amended as required. Assist HR Manager in issuing communications regarding renewal of benefits and windows.

  • Administer online portal to ensure Right to Work in the UK checks are requested and uploaded to the HRIS.

  • Support LMS Specialist with projects and the LMS as required.

  • Support development and continual updating of HR SharePoint site.


Payroll coordination



  • Lead on the monthly processing of payroll for multiple entities and work with the external payroll provider to ensure accuracy in payroll records, resolve any issues or discrepancies in a timely manner.

  • Add new starts and upload monthly pension contributions to the pension portal.

  • Work with global payroll providers to ensure timely submission of required data for multiple locations.


International



  • Support HR processes for employees working on international projects, including visa coordination and work permits.

  • Assist in the management of data for internationally mobile employees, including tax compliance and working with the relevant departments to create a global mobility policy.

  • Assist in the development, communication and implementation of HR policies and procedures, ensuring alignment with legal requirements.

  • Work with the HR Manager to provide guidance to employees and managers on HR policies and best practice.

  • Ensure all HR processes are documented and regularly updated.


HR audits and compliance



  • Manage and continually undertake internal audits, ensuring all employee data is accurate and up-to-date as well as ensuring HR processes comply with legislation or industry standards.


Data protection



  • Handle all employee and personal data in accordance with UK GDPR and Company data protection policies, maintaining confidentiality, security and appropriate retention at all times.

  • Ensure personal data held within HR systems is accurate, securely stored and accessible only to authorised employees.


HR projects and initiatives



  • Contribute to relevant HR projects including activities such as employee surveys, performance management, audits, salary and bonus reviews, employee engagement programs and initiatives.


Day to day administration support



  • Manage the process of issuing day to day letters to employees including completion of probationary period, contract variation letters etc. for HR Manager sign off.

  • Support management of HR absence policy such as ensuring self-certifications for absence are completed, occupational health referral forms are completed as required.

  • Support any other administration tasks as required such as taking minutes in formal employee meetings.

  • Promote diversity and inclusion within the workplace ensuring policies and procedures support a diverse workforce.

Person Specification


Knowledge & Qualifications



  • Ideally degree qualified in a relevant business discipline.

  • CIPD qualification is an advantage.

  • Familiarity with UK employment laws and HR best practice.

  • Highly competent in HR systems and office applications.


Skills



  • Excellent communication and interpersonal skills with the ability to build and maintain effective working relationships.

  • A proactive and organised approach to working, with the ability to manage multiple tasks and priorities effectively.

  • Exceptional attention to detail, ensuring all records, reports and documentation are accurate and up to date.

  • A commitment to ongoing HR learning.

  • Ability to maintain confidentiality and handle sensitive information.


Experience



  • Previous experience in an HR Coordinator or HR administrative role.

  • Understanding of payroll and employee benefits administration.

  • Awareness and experience in HR processes and best practices.
