Human Resources Administrator Caerphilly area Global Manufacturer Circa £28,000 dependant on experience This is a 12 month contract role with the potential of a further role in another department of the business. HR Administration & Employee Records Maintain accurate and up-to-date employee records, both electronic and paper based. Ensure all HR documentation is filed and retained appropriately. Manage the HR mailbox and respond to routine enquiries or redirect as appropriate. Produce letters, forms and documentation as required. Provide general administrative support including filing, photocopying, telephone enquiries and message taking. Record and distribute minutes and actions from HR-related meetings. Maintain employee profiles and organisational charts. Assist with updates to HR forms and documentation. HR Reporting & Data Management Update and maintain HR data and systems. Prepare monthly HR reports including:- Headcount reports Departmental employee reports Organisational charts Employee profile data Turnover statistics Attendance reports Provide accurate data and reports to support business and management requirements. Recruitment & Onboarding Administration Support recruitment activities by coordinating interviews and assessment processes. Create and maintain candidate records and databases. Liaise with recruitment agencies regarding temporary workers. Arrange interviews and issue interview invitations. Record interview notes where required. Communicate recruitment outcomes to agencies and candidates. Administer weekly agency timesheets. Prepare offer letters and contracts of employment. Support onboarding and induction administration. Maintain recruitment records and documentation. Learning & Development Administration Maintain training and development records. Record completion of performance appraisals. Track employee training requirements. Coordinate training bookings with external providers. Issue training confirmations and joining instructions. Maintain records of employee development activities and completed training. Absence Management Administration Monitor attendance and absence records in line with company procedures. Maintain absence management trackers and related records. Prepare absence-related correspondence. Support the administration of occupational health referrals, medical assessments and screening appointments. Record and track resulting actions and documentation. Employee Benefits Administration Support the administration of employee benefit schemes. Arrange pension-related documentation and meetings. Maintain records relating to life assurance and other benefit schemes. Assist with administration associated with employee engagement surveys and initiatives. Support pay review and benefits administration processes. Health & Safety Administration Coordinate and record Health & Safety training activities. Maintain training certificates and records. Order Personal Protective Equipment (PPE). Maintain Health & Safety administration records including incident logs and risk assessment reviews. Record minutes and actions from Health & Safety meetings. General Office Administration Arrange employee travel, accommodation and vehicle hire requirements. Coordinate servicing, MOTs and routine maintenance for company vehicles. Manage visitor schedules and hospitality arrangements. Order office consumables and refreshments. Support general office administration activities as required. Ideally, you will have a min of 2 years’ experience in a similar role. Monday – Thursday Flexible hours 36 hr week Travel to work from; Caerphilly, Blackwood, Cardiff Newport, Pontypridd, Cwmbran, Newbridge, Pontypool, Tredegar, Ebbw Vale
