The Role

They are looking for an experienced Executive Assistant to provide high-level, client-focused support to Partners and senior fee-earners.

This is a varied and proactive role for someone who enjoys taking ownership, anticipating requirements and acting as a trusted partner to senior stakeholders. You will manage your own workload while working closely with wider support teams to ensure the smooth and efficient running of the practice.

The successful candidate will be highly organised, commercially aware and confident managing competing priorities in a fast-paced professional services environment.


Key Responsibilities

  • Provide proactive, high-quality administrative and client support to Partners and fee-earners.
  • Manage complex diaries, anticipating scheduling conflicts, travel requirements, meeting arrangements and changes to priorities.
  • Coordinate domestic and international travel, including detailed itineraries, accommodation, agendas, meeting papers and relevant background information.
  • Act as a key point of contact between Partners, clients and internal and external stakeholders.
  • Build strong working relationships with clients and assist with routine client queries and relationship management.
  • Manage calls, messages and correspondence, ensuring matters are dealt with promptly and appropriately.
  • Review documents returned by document production and speech recognition teams, checking accuracy, formatting and presentation.
  • Support business development and marketing activity, including client meetings, events, pitches, directory submissions and social media activity.
  • Maintain accurate CRM records, ensuring new contacts, prospects and business development activity are recorded appropriately.
  • Maintain up-to-date knowledge of client protocols and relevant firm procedures.
  • Manage electronic and hard-copy files, including opening and closing matters, monitoring key dates and ensuring filing and compliance requirements are maintained.
  • Draft correspondence and communications on behalf of Partners where appropriate.
  • Assist with financial administration, including billing, expenses, credit control and payment-related matters.
  • Support and coordinate projects, ensuring deadlines are met and activity remains aligned with business priorities.
  • Identify opportunities to improve processes, streamline workflows and increase efficiency.
  • Work collaboratively with wider support teams, providing cover and assistance when required.


The ideal candidate will have:

  • Previous experience in a similar Executive Assistant, Legal PA or senior support role within a law firm or professional services environment.
  • Excellent diary and time-management skills, with the ability to anticipate requirements and manage changing priorities.
  • Strong client service skills and confidence dealing with senior stakeholders and external contacts.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and accuracy.
  • The ability to work independently, use initiative and make sensible decisions on behalf of senior stakeholders.
  • A proactive and solutions-focused approach, with a genuine desire to improve processes and ways of working.
  • Strong organisational skills and the ability to manage multiple deadlines simultaneously.
  • A collaborative approach and willingness to support colleagues and contribute to a wider team.
  • The ability to handle sensitive and confidential information with complete discretion.
  • Strong IT skills, including advanced Microsoft Office knowledge and confidence using document and case management systems.
  • The ability to learn and adapt to new technology and systems.
