Job summary

The Spinal Surgery Department is looking for an experienced secretary to join its busy secretarial team.

We are looking for someone with an approachable, helpful, flexible attitude who enjoys working as part of a team. You should also have good communication skills, administrative and organisational skills and be able to produce accurate audio typing and respond to ad hoc queries and deadlines effectively.

Main duties of the job

  • Working with the Epic EPR system to monitor patient pathways working to nationally targets.
  • Responsible for the co-ordination of the administrative functions relating to the admission of patients into hospital for surgery, ensuring waiting lists are up to date and theatre lists are fully utilised.
  • Add patients to the relevant in-patient and day-case waiting lists on the Patient Administration System; planning and maintaining the waiting list in accordance with the Patient Access Policy and Trust procedures.
  • Management and validation of patients 18-week Referral to Treatment pathways working closely with the Operations Coordinator and validation team.
  • Answering queries from patients and directing them where necessary.

Person specification

Qualifications

Essential

  • 5 GCSEs, grade C or above, including English & Maths

Desirable

  • AMSPAR Qualification
  • RSA/OCR 2-3 Audio Typing

Experience

Essential

  • Proven Secretarial/Admin experience
  • Audio Typing
  • Microsoft Office applications including Word, PowerPoint, Excel and IT skills
  • Work involving contact with members of the public.

Desirable

  • NHS experience
  • Epic EPR

Knowledge

Essential

  • Ability to prioritise workload and work on own initiative
  • Data Protection
  • Ability to maintain confidentiality at all times
