An exciting opportunity has arisen for a medical secretary to join the ENT team at Worcestershire Acute Trust. The role is demanding and interesting and will require someone who is able to work in a busy environment, has attention to detail and can manage a variety of tasks to meet deadlines within the service.

We are looking for an enthusiastic, capable and motivated individual to join our team. The post holder will be working closely with clinical and administrative colleagues to ensure task are completed to a high standard to ensure the smooth running of the service.

The Ideal candidate must have a flexible 'can do' attitude and the ability to use own intuitive with excellent communication/interpersonal and IT skills.

Main duties of the job

Provide Secretarial support to one or more consultants as well as junior staff and to assist in the organisation of the consultants work load. Effective and efficient management of patient administration systems. Booking of elective surgery and management of the elective waiting list.

DBS Checks and Costs

Job responsibilities

To provide a personal assistant and medical secretarial service to a Consultant and other medical staff in relation to their clinical duties.

To manage the Consultants waiting list and the booking of theatre lists in line with Trust policy and national 18 week RTT guidelines.

To undertake medical audio/copy typing duties including outpatient letters to General Practitioners operation notes and letters, discharge summaries and other official correspondence if required.

To undertake responsibility to ensure any outsourced work for the Acute Clinics is correctly checked and uploaded to the Trust records and applications.

To respond to enquiries from GPs, other Health Service personnel, patients and relatives

To participate in the collection and transmission of information to enable the Directorate to meet its objectives.

To assist with sorting day to day post.

To participate in the introduction and use of IT and to provide IT support to colleagues.

To cover, as is practical, Medical Secretary colleagues

To participate in the use of PAS systems to establish patient information is kept as accurate as possible and produce patient documentation as required.

To undertake any other duties as may be required as appropriate by the Consultant or the Directorate Management Team in accordance to the needs of the service.

Skill/Knowledge

Essential

  • Knowledge and understanding of National Guidelines including 18 week RTT Self-reliant, ability to work independently and as part of a team Good computer skills Working knowledge of Microsoft Office Good telephone skills Excellent verbal and written communication skills Good organisational skills

Desirable

  • Knowledge of NHS systems Working knowledge of Oasis / PAS / Bluespier / CLIP

  • Adaptable / Flexible Able to prioritise workloads Willing to work flexible hours

Qualifications

Essential

  • GCSE English and Maths at Grade C or above, or equivalent

Desirable

  • Typewriting / word processing RSA AMSPAR qualification or working towards AMSPAR medical terminology qualification

  • Able to work in demanding conditions where there is a high volume of activity Accurate and attention to detail Willingness to work with team members to help develop office and communication systems in conjunction with evolving working practices

  • Previous medical secretarial / hospital experience Previous experience working in a busy office Previous experience of dealing with members of the public
