Brief Description of the Role:

You will provide leadership and line management to the diabetes specialist nurse administration team, working across both diabetes specialist nurse bases - Horton Park Centre and Bradford Royal Infirmary. This is a full-time role over 5 days, providing mentorship and working as a role model for the administration team. This will include supporting the diabetes specialist nursing team to innovate and develop new administration processes to support the delivery of diabetes specialist nursing services efficiently.

Main duties of the job

The job holder will be responsible for the day to day management and functioning of the administrative and clerical provision for the Diabetes Specialist Nursing Services.

Acting as Line Manager, the job holder will provide support to administration team members in delivering theirduties as agreed with the service priorities.

Responsible for ensuring the wide range of secretarial and administrative duties are completed within agreed timescales and dealing with issues as they arise, escalating appropriately.

Responsible for coordinating and leading the provision of a professional & efficient customer focussed administration service ensuring that key data is recorded accurately

Responsible for the effective development of information technology functions within the Diabetes Specialist Nursing Services to the benefit of the client and customer experience.

To ensure efficient and effective systems of work, with the workload being equally distributed and completed within agreed timescales on a day to day basis.

Recruitment, training and supervision of administration team members, trainees or temporary staff as appropriate

Training of clinical and administrative team members in the use of electronic patient management system developments, particularly SystmOne and Cerner.

To ensure secretarial and administrative support for the Lead Nurse for Diabetes and Diabetes Specialist Nursing team.

Qualifications

Essential

  • GCSE English Language & Maths level 4 or above, or Functional Skills Level 2
  • RSAIII/OCR Typing/Word Processing, or equivalent qualification or skills
  • Evidence of on-going personal development

Desirable

  • Level 3 Business Administration Qualification
Experience

Essential

  • Previous medical/secretarial/NHS administration experience (ideally 2 years)
  • Experience of managing a team to deliver an exceptional customer service
  • Ability to demonstrate relevant management and administrative experience in the NHS
  • Work with database systems including design and outputs; preferably SystemOne and Cerner.
  • Experience of planning and organising work allocation/delegation to team members to deliver a high quality performance within policy and service timescales.
  • Minute taking
  • Customer service with ability to deal with complaints
  • Experience of analysing performance data and for identifying ways in which the service can be improved at a service, team and individual level.
  • Experience and/or knowledge of providing guidance to other team members on policies & procedures being executed by the them
  • Involvement in the delivery and implementation of service improvements using a range of service improvement and project management techniques.
Skills

Essential

  • Good keyboard and computer skills including Microsoft Office Suite
  • Able to interpret, analyse and present data in ways that are easy to understand
  • Professional with a good telephone manner
  • Enthusiastic, self motivated and flexible.
  • Ability to work on own initiative and under pressure as well as prioritising, managing/delegating a diverse workload

  • Work with financial systems (invoicing, setting up payments)
Knowledge

Essential

  • Understanding of Information Governance and Confidentiality
  • Knowledge of the health-related databases - particularly SystemOne & Cerner including responsibility of processing this highly confidential data for the functioning of services and providing activity reports.
