Job summary

The Podiatry Service is seeking a skilled, well-motivated Administrator to join our friendly and dedicated team. We are looking for an enthusiastic, organised, and proactive Administrator to join our team. The successful candidate will provide high-quality administrative and secretarial support to ensure the smooth and efficient operation of the service.

This is an excellent opportunity for an individual with strong organisational and communication skills who enjoys working in a busy environment and supporting both colleagues and service users.

This is a full time post, though part-time hours will be considered for the right candidate, with a minimum of 34 hours per week and flexible working considered.

You will work closely with--and be fully supported within a well-established service.

We are looking for an individual who is self-driven, reliable, and able to work effectively both independently and as part of a team. Strong communication skills and a positive, proactive approach are essential.

You will receive full Trust and Service Induction, along with ongoing guidance and supervision from our existing team to help you settle into the role and develop confidently.

Main duties of the job

A role in our team offers a welcoming, supportive environment where your contribution truly matters. Each day brings variety and purpose: you'll handle and organise incoming and outgoing mail, respond to emails promptly, speak with patients, carers and colleagues over the phone, process referrals, book appointments for the clinical team, arrange home visits, maintain supplies, and carry out a range of general administrative tasks that keep the service running smoothly. Providing secretarial support to the team including department meetings including the preparation and distribution of agenda and papers.

You'll be based in a friendly office setting, working closely with our podiatrists to ensure their clinical day flows effortlessly. From coordinating referrals and appointments and staff rotas to providing practical support throughout the day, you'll play a key part in helping them deliver excellent patient care.

Although you'll work independently, there are strong connections with the wider admin team across community podiatry. It's a place where people look out for one another, share knowledge, and collaborate to make the service the best it can be.

Job responsibilities

Provide comprehensive administrative and secretarial support to the team.

Arrange and coordinate appointments, meetings, and events, including booking venues, equipment, refreshments, and hospitality requirements.

Prepare, distribute, and maintain agendas, minutes, and supporting documentation for meetings.

Manage incoming and outgoing correspondence, including post and emails.

Act as a first point of contact for enquiries, responding professionally to telephone, email, and face-to-face requests.

Liaise effectively with service users, colleagues, external agencies, and stakeholders.

Communicate information clearly and sensitively, including information that may be complex in nature.

Ensure messages are recorded accurately and passed to the appropriate person in a timely manner.

Qualifications

Essential

  • Educated to vocational level 3 in Business Administration Or Educated to vocational level 2 with considerable recent NHS administrative experience and will be expected to undertake the relevant level 3 qualification on appointment to post
Experience

Essential

  • Recent, relevant Administrative/Secretarial experience (usually demonstrated by a minimum of 2 years' experience)

Desirable

  • Previous relevant NHS experience
Knowledge

Essential

  • Knowledge of a range of administrative and secretarial procedures and systems
  • Detailed knowledge of Microsoft Office: Word/Excel/Outlook
