Atlas EPR Project Manager

An exciting opportunity to join a high-profile, Trust-wide EPR transformation programme

We are looking for an experienced EPR Project Manager to join the Atlas Programme and play a key role in the delivery of the Trust's future Electronic Patient Record (EPR) solution.

Atlas is a high-profile, complex transformation programme that will have a significant impact across the Trust. The successful candidate will work closely with Atlas Programme Leads, clinical and operational teams, technology colleagues, suppliers and NHS partner organisations to coordinate and deliver a range of critical programme workstreams.

This is an opportunity to join the programme at an important stage in its development, working across the full EPR lifecycle -- from procurement and solution assessment, through pre-mobilisation and implementation, to go-live and post-go-live stabilisation.

The role

As Atlas EPR Project Manager, you will oversee, manage and track a range of programme workstreams, with responsibilities evolving in line with the phase of the programme.

You will be responsible for ensuring effective project management, governance and coordination across your allocated workstreams, while actively managing interdependencies with other Atlas workstreams and the wider programme.

You will work with a wide range of stakeholders and will need to be confident operating in a complex environment where priorities, dependencies and requirements can evolve rapidly.

Main duties of the job

Create, complete and maintain a complete list of all applications used by the Trust how so ever they are contracted. This is a critical document and will be used as the primary source document for legacy systems that must be:

  • o Integrated to any new EPR system
  • o Have data migrated from the source system to the new EPR solution
  • o Supplier contracts amended as necessary during the course of the programme
  • Ensure that information, governance, and PMO support is provided to the evolving workstreams.

Provide support to the Benefits realisation and process improvement teams from understanding and documenting the "As is" model to assisting in documentation and delivery as requested by the workstream lead.

Job responsibilities

Main duties

Working closely with multiple workstream leads to plan, track and manage the work streams within a highly complex project spanning multiple clinical and non-clinical departments in the Trust.

Support the deliverables under any workstream project plan as appropriate.

To apply the necessary governance and arrangements, including project planning, monitoring, tracking, and creating, maintaining a RAID log and raising issues and risk by informing/reporting to the relevant stakeholders and those accountable.

Attend meetings, take minutes, capture actions, RAIDs and follow up on all actions assigned to digital.

Set up, attend, and minute resolution, discussion meetings where necessary. Follow up on actions that impact the project milestones and deadlines.

To work with the Atlas Programme management team to review processes and assess the impact of the new system and technology on any given service line and in conjunction with Clinical, Technical and Operational stakeholders and Improvement and Transformation Team.

To develop and maintain all project documentation - this includes, programme plans, issues list, highlight reports, risk registers, benefits register and any other documents that are deemed necessary to successfully deliver the project.

To provide regular project updates, monitor progress against plan, highlight reporting packs, delivery of the project and post project review to the Programme Board.

To communicate effectively to relevant stakeholders, prepare and present progress update presentation where required.

To organise, set up and lead Programme Team meetings, including clinical and non-clinical stakeholders, and external parties as necessary.

Where required, to help influence and implement change and new policies/processes across the organisation.

Review where required processes and assess the impact of new technology on working practices in conjunction with IM&T, clinical and operational teams and the Atlas Business Transformation Workstream colleagues.

To provide written reports at agreed periods of time on the measured success of the project, its constituent parts and of the project personnel.

To represent the Trust to contractors, suppliers, and providers in furtherance of programme or workstream objectives.

Monitor and track deadlines, milestone and ensure the project is tracking against plan. Keeping any relevant Atlas workstream Project Manager up to speed.

Person specification

Education and qualifications

Essential

  • Educated to degree level or equivalent relevant experience.
  • PRINCE2 Practitioner, MSP or an equivalent project/programme management qualification, or equivalent demonstrable experience.
Skills and abilities

Essential

  • Excellent written and verbal communication skills, able to convey complex information clearly to technical and non-technical audiences and to present to groups.
  • Strong organisational and planning skills, able to prioritise and manage a complex workload to tight deadlines, working on own initiative and remaining calm under pressure.
  • Able to lead the design, evaluation and delivery of complex projects using recognised project management methodologies.
  • Sound analytical and judgement skills, able to gather, interpret and challenge complex information, weigh options and resolve problems in a timely way.
  • Able to analyse and interpret complex data and produce accurate, well-presented reports and correspondence.

Desirable

  • Able to make autonomous decisions on difficult issues and to lead and inspire change.
Knowledge and Experience

Essential

  • Experience of managing complex projects, including planning, stage co-ordination, monitoring progress against milestones and realising benefits.
  • Experience of identifying, managing and escalating risks and issues, and of project reporting.
  • Experience of managing change on digital, clinical and/or transformation projects.
  • Experience of developing and maintaining project documentation and of organising working groups, including providing related training.
  • Evidence of using innovation and best practice to improve ways of working.

Desirable

  • Experience of working in the public sector or healthcare, and with a wide range of internal and external stakeholders.
