Reports to: Head of People

At Ottolenghi, our people are at the heart of everything we do. We're looking for an organised, proactive and people-focused HR Administrator to join our People Team and help create a positive employee experience across our restaurants, delis and Head Office teams.

This is an exciting opportunity for someone looking to build or develop a career in HR within a fast-paced hospitality environment. As the first point of contact for many HR queries, you'll play a vital role in ensuring our people feel supported throughout their journey with us, from recruitment and onboarding through to development and employee engagement.

What you'll be doing:

You'll help us attract and welcome exceptional people to our business by:

  • Coordinating interviews and candidate communications
  • Posting job advertisements across multiple platforms
  • Preparing and issuing offer letters and employment contracts
  • Completing pre-employment checks, including right-to-work and references
  • Maintaining onboarding materials and ensuring a smooth new starter experience


You'll support payroll by:

  • Process employment changes including salary updates, role changes and absence records
  • Support the administration of Tronc
  • Respond to employee payroll queries and escalate where appropriate
  • Help ensure payroll information is accurate and submitted on time

You'll be a key support to the people team by:

  • Maintaining accurate employee records and ensuring GDPR compliance
  • Preparing a variety of HR documentation including contract changes and leaver paperwork
  • Taking notes in formal meetings such as disciplinary, grievance and investigation meetings
  • Monitoring probation periods and review dates
  • Managing the People Team inbox and employee reference requests
  • Keeping organisational charts and contract trackers up to date
  • Assisting with policy administration and people-related processes
  • Answer and manage HR queries via phone and email
  • Support office administration for the People Team
  • Assist with HR projects and continuous improvement initiatives


You'll support our commitment to helping people grow by:

  • Coordinating training sessions and maintaining the training calendar
  • Managing attendance records and training administration
  • Uploading and maintaining learning content on All Gravy
  • Monitoring compliance training completion rates and issuing reminders
  • Supporting talent review processes and maintaining talent data


You'll help us celebrate our people by:

  • Coordinating birthday and work anniversary recognition
  • Organising cards and gifts
  • Supporting employee reward and recognition initiatives
  • Helping to create positive employee experiences across the business


We're looking for someone who is enthusiastic about HR and enjoys working in a busy, people-focused environment.

You'll ideally have:

  • Previous administration experience, ideally in HR or hospitality
  • A genuine interest in developing a career within Human Resources
  • CIPD Level 5 qualification (or currently studying towards it) preferred

Skills and Experience:

  • Exceptional attention to detail and organisational skills
  • Strong written and verbal communication skills
  • Friendly, approachable and professional manner
  • Ability to manage multiple priorities in a fast-paced environment
  • High level of confidentiality and discretion
  • Confidence working with data and systems
  • Good Microsoft Office skills, particularly Excel and Word
  • Positive, resilient and adaptable approach to work
  • A proactive mindset and willingness to learn
