Medical Receptionist

24 hours per week

Set work pattern:

Wednesday 8am - 6pm

Thursday 9am - 5:30pm

Friday 9am - 5:30pm

We have a vacancy for a Medical Receptionist to join the existing reception team doing a variety of work in our busy GP practice. This is an essential and demanding role, providing a welcoming, friendly and professional service to patients, staff and visitors to the practice, either in person or via the telephone.

They will provide a range of reception and administration duties, utilising SystmOne clinical system and Microsoft systems. Basic computer skills are essential.

Experience in a similar role would be an advantage, however in-house training will be provided.

Main duties of the job

You will work alongside Doctors, Advanced Nurse Practitioner, Pharmacist, Practice Nurses, Health Care Assistants, other administrative staff and the Newcastle Outer West Primary Care Network staff. Tasks will include dealing with patient queries both face to face and on the telephone, taking prescription requests, updating patient records, liaising with doctors on patient queries, reception work, telephone answering, booking patient appointments and general clerical duties.

About us

Parkway Medical Group is a busy suburban GP practice with 8 doctors, 1 Pharmacist, 3 Practice Nurses and 2 Healthcare Assistants. The clinicians are supported by a Practice Manager, Deputy Practice Manager, Finance Manager and 10 Administrative staff.

As a member practice of Newcastle Outer West Primary Care we also have access to the extended team of First Contact physiotherapists, Pharmacists, Pharmacy Technicians, Social prescribers and link workers.

We are also a teaching practice for Doctors in training and medical students.

The surgery is in a modern purpose built premise with a current patient list size of 8398.

The surgery is on a local bus route, and plenty of on site-parking with nearby shops.

We use SystmOne Clinical System, our last CQC rating in June 2023 was Good.

Job responsibilities

Main Duties:

  • Maintaining a positive and consistent can do attitude, treating everyone with dignity and respect
  • Dealing with patient requests either face to face, or on the telephone
  • Booking, cancelling all types of appointments/consultations and home visits
  • Directing enquiries to the appropriate people and understanding the callers expectations through effective questioning
  • Handling difficult situations in a calm and professional manner
  • Make appropriate hospital appointments where necessary
  • Receiving and directing patients/visitor on arrival
  • Answer any patient/hospital queries
  • Processing mail
  • Team player in multiskilling programme and all rotas
  • Scanning, filing letters and records
  • Preparation of consulting rooms and waiting room
  • Flexibility in covering for sickness and holidays
  • Producing and following protocols
  • Communicate effectively with other team members
  • Communicate effectively with patients and carers
  • Recognise peoples needs for alternative methods of communication and respond accordingly.
  • Keep accurate records
  • Prescription duties, eg answering dedicated line, printing of prescription requests, collation and distribution.
  • Aware of practice policies and keep self updated with change
  • Responsible to carrying out duties directed by clinicians or management
  • Keeping up to speed with changes implemented within the practice
  • Attend relevant meetings
  • Responsible for keeping training evaluation up to date

Information Technology:

  • Computer data entry and recording in accordance with practice procedures
  • Scanning information into patients records from letters
  • Liaising with NECS when problems arise with the computer

Health & Safety:

The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice Health & Safety Policy, to include:

  • Using personal security systems within the workplace according to practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Reporting potential risks identified.

Personal Development:

The post-holder will participate in any training programme implemented by the practice as part of this employment to include:

  • Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal development
  • Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work.
  • Attend and participate in practice meetings as required

Staff uniform:

A staff uniform is provided by the practice. You are required to wear this uniform at all times including any time out training session or training sessions organised by the practice off site.
