Job summary
We are looking for an experienced, organised and reliable Medical Secretary to join our friendly practice team. We are happy to consider either full-time or part-time applicants.
The ideal candidate will have previous experience working as a secretary within a GP surgery or medical practice and preferably have experience using SystmOne.
We are looking for someone who is:
- Experienced in medical secretarial or administrative work, ideally within a GP practice.
- experience using NHS Electronic Referral Service (e-RS)
- Familiar with SystmOne (desirable).
- Highly organised and able to manage competing demands effectively.
- Able to work independently and use initiative when prioritising workloads.
- Confident in monitoring outstanding tasks and following them through to completion.
- Able to identify when a request is urgent or complex and escalate appropriately.
- A confident and accurate typist with excellent attention to detail.
- Professional, approachable and able to communicate effectively with patients and healthcare professionals.
- Discreet and committed to maintaining patient confidentiality at all times.
- A reliable team player who is willing to support colleagues when required.
Main duties of the job
The successful candidate will be responsible for providing an efficient and well-organised secretarial service, including:
- Preparing and typing medical referrals and reports.
- Managing incoming requests and prioritising workload according to urgency.
- Monitoring outstanding work and ensuring tasks are followed up appropriately.
- Recognising and escalating urgent, complex or clinically significant requests to the appropriate member of the team.
- Liaising with clinicians, patients, hospitals and other healthcare professionals where appropriate.
- Sending referrals for the practice recall system for housebound patients, ensuring these recalls are monitored and completed in a timely manner.
- Maintaining accurate and confidential patient records.
- Supporting the wider practice team with general administrative and secretarial duties.

Job responsibilities
The Medical Secretary will provide a high-quality, patient-focused secretarial support the clinical team at Dovercourt Group Practice. The post holder will be responsible for the management of referrals, clinical correspondence and patient-related documentation, ensuring all tasks are completed accurately, efficiently and in a timely manner. Key duties include processing referrals through the NHS Electronic Referral Service (e-RS), liaising with hospitals and community healthcare providers, maintaining accurate patient records, processing information requests such as Subject Access Requests and insurance reports, and managing incoming telephone and email enquiries. The successful candidate will work closely with clinicians and colleagues to support the effective day-to-day running of the practice whilst maintaining the highest standards of confidentiality. This is an excellent opportunity for an organised individual with strong communication skills, attention to detail and the ability to work effectively within a busy primary care environment
