Job summary

We are looking for a motivated and customer-focused individual to join our Outpatient Bookings Team. This is a fast-paced, target-driven role where you will play a key part in providing an exceptional experience for patients, consultants, and colleagues. Using your excellent communication skills and attention to detail, you will handle enquiries, book appointments, and support patients throughout their journey, while helping the team achieve its performance and sales objectives. Main duties of the job

Provide administrative and customer service support within the Outpatient Bookings Team, ensuring enquiries are managed effectively and appointments are scheduled accurately. Build positive relationships with patients, consultants, and colleagues, maintain accurate records, and contribute to the smooth running of the service while supporting team performance and delivering a high-quality patient experience.

Job responsibilities

  • Enquiries are handled courteously, efficiently and with empathy.
  • Can do attitudes to be shown at all times.
  • Tasks are undertaken efficiently and with attention to detail.
  • Provide efficient and professional customer service to patients consultants and colleagues.
  • Ensure personal and team sales targets are met, using trackers/CRM systems to capture information.
  • Follow all sales process and keep an accurate tracker to ensure opportunities are maximised.
  • Have excellent understanding of the patient pathways throughout the hospital.
  • Have excellent knowledge of all consultants/specialties.
  • Maintain website enquires, again ensuring information is captured in trackers/CRM systems if not converted into an appointment.
  • Maintain an up to date and accurate call back system ensuring we provide relevant information at the appropriate time and maximise the sales opportunity.
  • Manage personal call statistics to ensure you are contributing to the overall team call performance.
  • Provide accurate pricing guides to patients.
  • Ensure all data that is captured is accurate and appropriate when booking appointments, eg correct GP surgery, credit card details etc.
  • Alert other team members to issues that affect quality and risk.
  • Assess own performance and take accountability for their own actions either directly or, under supervision.

Person specification

Experience

Essential

  • Experience of working within call-handling sales team.
  • Worked in Customer Services environment.
  • Willingness to learn and contribute to the efficient working of a target driven team.
  • Good attention to detail.
  • Excellent communication skills.

Desirable

  • Further Education Qualification e.g. A level, BTEC.
  • Worked with CRM Systems.
  • Worked in healthcare environment.
