Job summary
We are looking for an afternoon Receptionist/Administrator to join our friendly and supportive team at Leagrave Surgery. This is an important front-line role where you will help patients access the right care while supporting the smooth day to day running of the practice.
We are looking for someone who is:

Previous experience in a GP practice or healthcare setting would be helpful as would the use of SystmOne, but not essential as full training will be provided, and you will be supported by an experienced team who take pride in delivering excellent care and service to our patients.

Main duties of the job
- Answering telephone calls and responding to patient enquiries
- Welcoming patients at the reception desk
- Booking and managing appointment
- Completing a variety of administrative tasks
- Working closely with our clinical and administrative teams
- Handling confidential information professionally
- The role is busy and varied, so you will need excellent communication and organisational skills, good attention to detail, and the ability to remain calm under pressure.

We work closely with four other GP practices as part of Hatters Health Primary Care Network (PCN), enabling us to collaborate, share expertise and develop services that benefit patients across our local community. Our clinical team includes GPs, nurses, healthcare assistants, pharmacists, MSK, Care Co-ordinators, Health and Wellbeing and social prescribers.
Job responsibilities
- Accurately detail information on patients records within the clinical system
- Maintain and monitor the practice appointment system
- Process personal, telephone and e-requests for appointments
- Assist with total triage administration
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Signpost patients to the correct service
- Initiate contact with and respond to, requests from patients, team members and external agencies
- Photocopy documentation as required
- Input data into patients healthcare records as necessary
- Direct requests for information, i.e., DSAR, insurance/solicitors letters and DVLA forms to the administrative team
- Manage all queries as necessary in an efficient manner
- Support all clinical staff with general administrative tasks as requested
- Undertake a broad spectrum of administrative duties commensurate with the role
- Be an integral part of the general practice team
- Act as a chaperone as required
- Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding children
- Support in the delivery of enhanced services and other service requirements
- Undertake all mandatory training and induction programmes
- Contribute to and embrace the spectrum of clinical governance
- Maintain a clean, tidy, effective working area at all times

Knowledge and Skills
Essential
- Excellent communication skills and effective in communicating and understanding patient needs
- Competent in the use of MS Office and Outlook
- Ability to use own initiative, discretion and sensitivity
- Able to get along with people from all backgrounds and communities, respecting lifestyles and diversity.
- Problem solver with ability to process information accurately and effectively.
Qualifications
Essential
- A good standard of education with an expectation of having both GCSE Maths and English at Grade C (level 4) or above.
Desirable
- NVQ level 2 in Health and Social Care
