An exciting opportunity has arisen to recruit a Senior Administration Assistant within Neurodiversity Services.

The role is embedded within the Adult Autism Diagnostic Service; however, the successful applicant may be required to offer cross-service support to our colleagues in Children's Autism, ADHD, Learning Disabilities and Long-Term Health Conditions, including some reception duties. The role will include working alongside our independent and charitable partner providers and supporting service delivery.

We are looking to recruit a friendly, enthusiastic and motivated person to join our administration team who has excellent communication skills.

The clinical team operates between 8:00am and 6:00pm, Monday to Friday. The administration team is expected to support the clinical teams during these hours.

Main duties of the job

You will provide administrative support to the service, supporting junior staff and contribute to the planning and development of the service as a member of the team.

The role will include:

  • Working with the other Senior Administrator in the day to day running of the service, prioritising work and delegation
  • Good communication skills
  • Being the first telephone contact for emergency and urgent referrals
  • Updating Trust/clinical systems and supporting waiting list management
  • Work part of admin team and independently
  • Work closely with the clinical team
  • Providing leadership and supervision to Band 2 Admin Assistants
  • Preparing and editing letters, reports and emails
  • Covering reception if required
  • Managing the room booking system
  • Ordering and maintaining clinical/non-clinical stock
  • The role is highly challenging and there is an emphasis on in-house training

Person specification

Qualifications, Education and Training

Essential

  • GCSEs in English and Maths at grade C, or equivalent) RSA II or equivalent
  • 'A' Level/BTEC Diploma/NVQ3 Business Administration/Customer Service or equivalent experiential learning
  • Higher level of education (e.g. NVQ level 3) or 'A' levels at minimum grade C, or equivalent)

Desirable

  • Advanced EDCL
Knowledge and Experience

Essential

  • Demonstrable experience of practice and procedures relevant to the area of work
  • Knowledge and experience of IT systems, including Microsoft Office 365 applications.
  • Experience of working with the client group

Desirable

  • Experience of using Trust IT Systems - e.g. SystmOne, ESR, Oracle
  • Experience of use of Microsoft Teams
